Spain runs on paperwork sequences, and the early weeks after arrival set the tone for everything that follows. The NIE (Número de Identidad de Extranjero) is the foreign identity number, and almost nothing — a rental contract, a bank account, a utility connection, a residence card — proceeds cleanly without it. The empadronamiento, registration on the local padrón at the town hall (ayuntamiento), produces the certificado de empadronamiento that confirms your address; it is the document that unlocks public healthcare registration with the regional health service, a child’s school placement, and the TIE residence-card appointment. Many of these steps are booked through a cita previa (prior appointment) system that can take time to secure in the larger cities, so it pays to start early. Schools, neighbourhoods and finding your way in

For Indian families with school-age children, the Spanish education choice is a substantial early decision. The state system runs through educación primaria and then educación secundaria obligatoria (ESO), followed by bachillerato; concertado schools are state-subsidised but privately run; and many Indian families choose one of the international or British-curriculum schools — well established in Madrid, Barcelona, Valencia and along the Costa del Sol — particularly where a return to India remains on the horizon or English-medium continuity matters. Indian community life is strongest in and around Madrid, Barcelona and Valencia, with Indian grocery shops, temples and gurudwaras, restaurants and cultural associations long settled, alongside growing communities in Málaga and the coastal cities.

A note on Spanish customs expectations

Spanish customs is documentation-driven. A household shipment clears the Agencia Tributaria without difficulty when the inventory is accurate, the valuations are defensible, the EU import declaration matches the Indian shipping bill, and the transfer-of-residence relief application is supported against the qualifying periods in the EU relief regulation — twelve months’ normal residence outside the customs territory, and at least six months’ possession and use of the goods at the India address before the move — along with proof that the move corresponds to a genuine change of residence. We ensure this by preparing the Indian shipping bill and the Spanish import declaration from the same verified inventory — so there is no gap between what India records as leaving and what Spain sees arriving, and the relief application stands up to scrutiny.

A move to Tenerife or Las Palmas is not a move to Madrid

Families planning a Canaries move read the same guides as families planning a Madrid move, and the guides are mostly wrong for them. Spain is one country but two fiscal territories, and the difference is decisive at the border. The Canary Islands lie inside the EU customs union and outside the EU VAT area. Ceuta and Melilla lie outside both.

What that means for a household consignment landing at Las Palmas de Gran Canaria or Santa Cruz de Tenerife: the customs side works as it does at Valencia, so the EU Common Customs Tariff applies and duty relief on a genuine transfer of residence operates on the same qualifying conditions. The tax side does not. The 21% IVA that would apply at Valencia has no counterpart in the islands. The Canaries charge IGIC — the Impuesto General Indirecto Canario — at a general rate well below the peninsular figure, and a defined list of goods also attracts AIEM, a local levy that exists to protect island production. Ceuta and Melilla, being outside the customs union, run their own IPSI regime and are further from a mainland move again.

The trap is the routing. Because the islands are outside the VAT territory, sending goods there from mainland Spain is a customs movement requiring its own declaration — two Spanish addresses, one customs frontier between them. A household that lands at Valencia and is then forwarded to Gran Canaria has been through customs twice and paid for the privilege twice. Where a sailing allows it, ship directly into the island port. Where it does not, plan for the second declaration from the outset rather than meeting it as a surprise invoice.

Worth saying plainly for anyone comparing options: the Balearics are not the Canaries. Mallorca, Menorca and Ibiza sit fully inside the EU VAT area, so a move to Palma is a mainland move with a ferry or feeder leg on the end of it and ordinary IVA treatment throughout. The two island groups are frequently spoken of together and behave completely differently.

What moves the price, and what people assume does but does not

The single biggest determinant is volume, and volume behaves less predictably than families expect. A three-bedroom flat in Bengaluru with built-in wardrobes ships far less than a three-bedroom house in Pune with freestanding furniture, even though the brochure description is identical. After volume, in rough order of impact:

• The distance from your home to the load port. Kolkata and Ahmedabad carry more inland cost than Mumbai or Chennai, and it is a real line rather than a rounding.
• Whether the volume justifies a container of your own. Below about half a 20-foot container, sharing is cheaper; above it, sharing mostly buys waiting time at both ends while other consignments are consolidated and deconsolidated.
• Access at the Spanish end. A ground-floor house with a driveway and a fifth-floor flat with no lift on a street a lorry cannot enter are the same volume and not remotely the same job.
• Anything requiring a purpose-built crate. Marble and stone tops, large mirrors, glass-fronted cabinets, artwork, a harmonium or a veena, a piano. Crating is worth every rupee and it is not free.
• Declared value, which drives the marine insurance premium, and which is worth setting honestly rather than low.
• The month. August is dearer to execute in Spain and slower, for reasons of heat and of half the country being on holiday.

What does not move the price as much as people fear: books. They are heavy, and families routinely offer to leave a library behind to save money. On a sea shipment priced on volume rather than weight, a well-packed personal library is one of the cheapest things in the container, and one of the hardest to replace in Spain. Bring the books.

Getting it up the stairs

The last hundred metres are where Spanish deliveries succeed or fail, and it has almost nothing to do with the shipping. Much of the country’s housing stock predates the lift, and a good deal of what has one has a cabin sized for two people and a shopping bag. In Barcelona’s Eixample the staircases are handsome and the lifts are tiny. In the Gòtic, El Born, Valencia’s Ciutat Vella, Seville’s Santa Cruz and Málaga’s old centre, the street itself will not take a lorry — pedestrian zones with narrow timed access windows and bollards at the entrance.

The Spanish answer is the montamuebles, the external furniture lift: a platform running up a ladder against the facade, delivering through a window or onto a balcony. It is standard equipment rather than an exotic measure, and it turns a fourth-floor delivery from a six-hour carry into a straightforward morning. It does need the ayuntamiento’s permission to occupy the pavement and parking bays, applied for in advance with the bays reserved and signposted, so it belongs in the plan and not in the improvisation.

Two more realities. Low-emission zones now restrict which vehicles may reach central districts in Madrid, Barcelona and other cities. And an August delivery in Madrid or Seville is genuinely harder work: afternoons regularly pass 38°C, crews start early and pace differently, and candles, records and anything else with a melting point want unpacking the same day.

Three more questions families ask

Can we ship food and spices from home?

Dry spices, pulses, rice, tea and sealed packaged goods generally travel without difficulty. The EU restricts products of animal origin at the border, which catches ghee, dairy, meat-based pickles and anything containing them, and plant-health rules apply to seeds, fresh produce and untreated wood. In practice the useful test is whether it is dry, sealed, commercially labelled and free of meat or dairy. Everything else is better bought in Spain, where Indian grocers in Madrid, Barcelona and Valencia are well established.

What happens if the flat is not ready when the container lands?

This is common enough to plan for rather than react to. The shipment goes into warehouse storage in Spain until the address is available. Arranged in advance it is an inexpensive line; arranged after the vessel has berthed, it competes with container detention charges that accrue daily. Tell your coordinator the moment the lease date looks uncertain, not the week the ship arrives.
