The German workplace context

How a corporate move from India to Germany runs

  1. Survey both premises. We assess the India office and gather the German destination details — floor plan, building access, lift capacity, IT topology, structured cabling and any equipment that needs special handling.
  2. Build the move schedule. The plan is built around the operational window: the India decommission date, the sea transit through Hamburg or Bremerhaven, ATLAS clearance, and the German office opening date — with Sonntag/Feiertag restrictions designed in, not discovered late.

The German building decides your move dates, not the calendar

Indian offices are usually moved when the business is ready to move them. German offices are moved when the building allows it, and that is a genuinely different planning constraint. Most commercial buildings in Frankfurt, Munich, Berlin, Düsseldorf and Hamburg are run by a Hausverwaltung — a property management company — that controls the loading bay, the goods lift and the hours during which either can be used. Access is booked, often two or three weeks ahead, and a booked slot is a slot: turn up outside it and the bay is occupied by somebody else’s contractor.

Street access is its own application. A removal vehicle parked on a German street needs a temporary no-parking zone, which is granted by the local traffic or public order office and takes days rather than hours to arrange. The signs have to stand on the street for several days before the vehicle arrives, or the cars already parked there cannot lawfully be towed and the crew loses the frontage. Cities differ on the notice period they want; none of them will do it the same afternoon. In the older commercial quarters — Munich’s Altstadt, Frankfurt’s Sachsenhausen, the inner districts of Hamburg — the street may simply not take a full-size vehicle, and the move runs from a shuttle instead.

Then there are the quiet hours. Noise rules restrict work in and around residential-adjacent buildings in the evening and overnight, and mixed-use blocks in German city centres are more common than in Indian business districts. A plan that assumed a Saturday night cut-over so trading is undisturbed on Monday can run straight into that. What leaves the old office is a project of its own

Every office relocation has a disposal side, and in Germany the disposal side is documented. Commercial waste regulation requires separation at source and evidence of proper handling, and the practical consequence is that unwanted furniture, fittings and fit-out material go to a certified specialist waste company that issues paperwork for what it took. Landlords and property managers ask for that certificate on handover; so do auditors when a fixed-asset register is being written down. Sending a truckload of desks to an unlicensed yard because it was cheaper is the kind of shortcut that resurfaces months later.

Electrical and electronic equipment has a parallel regime with registered take-back obligations, which covers everything from monitors and printers to the small kitchen appliances nobody accounted for. And any device that has ever held data — workstations, servers, network gear, copiers with internal drives — needs certified destruction to a recognised security level with a certificate naming the assets, because the data-protection obligation follows the asset out of the door and does not stop at the loading bay.

The lease handover is the other half. German commercial leases very commonly carry a restoration obligation: partitions removed, cabling pulled back, wall and floor finishes reinstated, the space returned in the condition it was taken. That work is a construction project with its own lead time and its own permissions from the building, and it usually has to finish after the furniture has gone and before the keys are returned. Companies that plan the outbound shipment carefully and leave restoration to the final fortnight are the ones that end up paying for an extra month of rent on an empty floor.

Sequencing around the works council

Where a German entity already has staff and an established employee representation body, a relocation of the workplace is not purely a management decision and is not purely a logistics exercise either. Consultation obligations attach to changes of that kind, they have their own timetable, and that timetable is not compressible by paying a mover to work faster. The point for the move plan is straightforward: the date the business would like to occupy the new floor and the date the process permits it to are two different dates, and only one of them is worth booking a container against.

None of that is ours to advise on — it belongs to your German counsel or HR adviser, and we say so plainly. What we do is keep the physical plan honest about it. That means the India-side decommission is not scheduled until the German occupation window is real, and the shipment is routed with a deliberate buffer — a bonded or warehouse hold near Hamburg, or a later inland clearance — so that a consultation running two weeks longer than expected costs storage rather than demurrage and a missed delivery slot.

Is it worth shipping the existing office furniture at all?

Sometimes, and less often than people assume. Specialist equipment, laboratory benches, tested and calibrated instruments, server hardware and anything with a warranty tied to the unit are usually worth moving. General desking and storage frequently is not: the freight, packing and reassembly on a 25-to-32-day sea leg can approach the cost of buying equivalent items in Germany, and German workplace ergonomic expectations for desks and seating are specific enough that older Indian office furniture may not meet them. Can the office move in phases so the business keeps trading?

Yes, and on a long corridor it is often the sensible structure. A first shipment carries what the German team needs to be operational — core IT, a working set of desks, records that must be on site — while archive, secondary equipment and the fit-out tail follow in a second container. It costs more in handling and creates two customs entries instead of one, but it decouples the opening date from the arrival of every last item.

What happens to our IT during the transit weeks?

Decide that before anything is unplugged. Most Indian companies opening in Germany run the changeover on cloud or colocated infrastructure so that nothing operational is inside the container, and ship hardware as equipment rather than as a live system. Where physical servers must move, they are decommissioned to a documented configuration, packed against shock and humidity, and recommissioned against that same document at the German end. What we will not do is promise that a rack that spent a month at sea comes up first time without a written build state to bring it back to.

How early should the first conversation happen?

As soon as the German address is under negotiation, which is usually earlier than companies expect to be talking to a mover. The building’s access rules, lift dimensions and restoration terms are all readable from the lease and the property manager before it is signed, and knowing them then is worth more than knowing them later.
