Part of Packing, Office Moves & Mobility

Corporate Office Movers and Packers

Moving a working office so the business opens on Monday — planned backwards from that deadline rather than forwards from the packing.

The deadline is fixed and everything is planned backwards from it

A household move can run late by an afternoon and nobody is materially worse off. An office move that runs late costs a day of trading across every person who cannot work, and that number is almost always larger than the entire cost of the move.

So an office move is planned from the reopening deadline backwards: what must be live on Monday morning, what has to be in place on Sunday for that to happen, and therefore what must leave the old building on Friday evening. Everything else is scheduled around that spine.

The survey covers the buildings, not just the furniture

Two buildings constrain the move and both need walking before anything is priced. Goods-lift dimensions and availability, loading-bay access and booking rules, out-of-hours building access, security clearance for crew, whether the landlord requires floor protection, and the reinstatement obligations on the outgoing lease.

That last one catches companies regularly. A lease frequently requires the space to be handed back in a defined condition, and discovering that after the furniture has gone means bringing contractors back into an empty building at short notice.

IT is the critical path, always

Desks and chairs can arrive on Monday morning if they must. The network cannot. Connectivity, servers and telephony decide whether the office functions, and they have the longest lead times and the least flexibility.

That means the new site’s circuits are ordered and tested well before the move — provisioning is measured in weeks, not days — and the server or comms room is migrated first, with the sequence agreed with your IT team rather than assumed. Equipment travels in anti-static packaging, racked items are inventoried by asset tag, and the rebuild order is written down before anything is unplugged.

How the move itself runs

The physical work is the straightforward part once the plan is right.

  • Crate delivery and a labelling scheme keyed to the new floor plan, so nothing needs a decision on arrival
  • Personal crates issued per employee, packed by them, labelled with their new desk
  • Workstation dismantling, with fixings bagged and taped to the component they belong to
  • IT decommissioned to your team’s instruction, inventoried and moved separately from the furniture
  • Overnight or weekend transport so the working week is not interrupted
  • Reassembly and placement to the floor plan, not to whatever is nearest the lift
  • Debris and packaging removed before Monday, and the old site cleared to lease condition

Phasing, when the office cannot close at all

Some operations genuinely cannot go dark — a support desk, a trading function, anything customer-facing across time zones. Those move in phases: a proportion of the team relocated and working at the new site while the remainder continues at the old one, with the critical function handed over at a planned moment rather than carried across in a van.

Phasing costs more than a single weekend move because you pay for two operational sites and a longer schedule. It costs far less than an outage, and the comparison should be made explicitly rather than assumed either way.

Furniture you should not take with you

Most offices move things they will not use. Old workstations that do not fit the new floor plan, filing that has been digital for years, and equipment kept because nobody wanted to make the decision.

Moving it costs volume on the truck and space at the far end. We produce a disposal and storage list at the survey so the decision is made deliberately — what goes, what is stored, what is sold or recycled, and what is securely destroyed. Records with retention obligations get handled under a documented chain rather than put in a skip.

Asked often about this service

How much notice do you need for an office move?

The physical move can be arranged in a couple of weeks; the constraint is almost always IT provisioning at the new site, which runs to weeks and occasionally longer. Start with the circuit order, and the rest of the plan fits around it comfortably.

Can you move us over a weekend?

Yes, and most office moves run that way — out on Friday evening, in and rebuilt across Saturday and Sunday, open on Monday. It depends on both buildings permitting out-of-hours access, which we confirm at the survey rather than assume.

Who handles the IT equipment?

Your IT team decides the decommission and rebuild sequence; we do the physical handling, packaging and inventory, and we move the server or comms room first so it can be brought up while the furniture is still arriving. Where you have no internal team we coordinate with your provider.

Do you handle the old site reinstatement?

We clear it and can coordinate the reinstatement your lease requires — partitions removed, cabling stripped, the space returned to the agreed condition. It is worth raising early, because it is the obligation companies most often discover late.
