The India–Poland corridor has grown quietly but steadily into one of Central Europe’s most active emigration and trade routes from the subcontinent. Poland’s expanding services economy, its position as a manufacturing and shared-services base for much of Europe, and the steady demand for Indian IT, engineering and healthcare professionals have turned Warsaw, Kraków and Wrocław into destinations that scarcely featured on the Indian moving map a generation ago. Polish universities, English-medium degree programmes and living costs below those of Western Europe have all added momentum. An India–Poland move begins firmly at the India end: export customs clearance on ICEGATE at Nhava Sheva (JNPT), Mundra, Chennai Port or Cochin, preparation of the shipping bill under the Customs Act, AD code registration with the originating port, and the careful packing of a household or office that will travel a long sea route before it reaches the Baltic. That India-side preparation matters as much as anything that happens in Poland — it is where most coordination gaps appear when the origin work is treated as an afterthought. Once the container reaches Gdańsk, Gdynia or the Szczecin–Świnoujście complex, the Polish side begins: import clearance with Krajowa Administracja Skarbowa (the National Revenue Administration), the EU import VAT question, and the EU transfer-of-residence relief that, when correctly claimed, removes duty and VAT on used personal effects that were in the mover’s possession and use for at least six months before departure.
The India–Poland corridor
Sea freight is the backbone of this corridor for household and commercial volumes. Container vessels from Nhava Sheva and Mundra reach the Polish Baltic ports — the deep-water terminal at Gdańsk, Gdynia, and the Szczecin–Świnoujście complex in the west — most often via a transhipment hub such as Jebel Ali, Salalah, or a North European port like Rotterdam or Hamburg before a feeder run into the Baltic. Realistic port-to-port transit times sit in the range of roughly 30 to 42 days depending on routing and the number of intermediate calls. Chennai Port and Cochin provide strong alternative gateways for origin cities in South India. From the Polish coast, onward road delivery reaches Warsaw, Kraków, Wrocław, Poznań, Łódź and every address in the country.
Air freight from Mumbai (BOM), Delhi (DEL), Bengaluru (BLR) or Chennai (MAA) into Warsaw Chopin Airport (WAW) serves moves where the timeline cannot absorb sea transit. There are no daily direct passenger services on every routing, so air shipments often move via a Gulf or European hub, but the practical door-to-door result is still measured in days rather than weeks. We are candid about the cost difference — air freight typically runs several times the per-kilogram cost of sea — and we help you weigh speed against budget so the choice fits your start date, school term or office opening rather than a default assumption.

Gdańsk direct, or Hamburg and a long drive?
Most Asia–Europe cargo destined for Central Europe is discharged at a North Sea gateway — Hamburg, Bremerhaven, Rotterdam or Antwerp — and then moved onward by feeder ship, rail or road. Poland is the exception on the Baltic. The deep-water terminal at Gdańsk, DCT Gdańsk, now trading as Baltic Hub, is the only facility on the Baltic able to work the largest vessels on the main Asia–Europe strings alongside. A container for Warsaw or Łódź can therefore be lifted off roughly 340 km from where it is going, rather than 850 km away in northern Germany. For a corridor that is otherwise long and patient, that one piece of port geography is the most useful routing fact there is.
A direct Baltic call removes the feeder leg — commonly four to eight days spent waiting for a connection out of the North Sea — along with a second set of terminal handling charges. It also settles the customs question in one place. Goods entered for free circulation at Gdańsk are declared to Krajowa Administracja Skarbowa and finish their journey inside Poland, instead of travelling south under a T1 transit document opened in Germany and discharged at an inland office.
The counter-argument deserves an honest hearing. The North Sea ports have far more sailings, so a Hamburg or Rotterdam routing can leave India two or three days earlier and, in weeks when Baltic space is tight, at a lower through rate. Set against that is the land leg — roughly 550 km of road or rail to Poznań and around 850 km to Warsaw — the transit paperwork, and the plain risk that one missed connection in Germany costs a week no amount of trucking will recover.

Where you are going decides it. For anything from Poznań eastwards — Warsaw, Łódź, the Tri-City itself — the Baltic call wins on almost every measure. For Wrocław, Katowice or the Silesian belt the arithmetic is closer, and a western routing through Szczecin–Świnoujście sometimes reads better than either. We price the realistic options rather than the convenient one, and we say which of them we would take.

The cities this corridor actually serves.
Poland is not a one-city destination, and Indian arrivals cluster in a pattern that follows the work.
- Warsaw — banking, insurance, corporate headquarters and the large shared-services floors that sit behind them. Roughly 340 km from Gdańsk, a comfortable single-day delivery.
- Kraków and Wrocław — the two centres of gravity for IT and business services, and the two cities where the Indian professional population has grown fastest. Kraków is around 580 km from the coast, Wrocław about 490 km.
- Poznań and Łódź — logistics, warehousing and manufacturing, helped by their position on the east–west and north–south road corridors. Poznań sits roughly 300 km from Gdańsk, Łódź about 350 km.
- Katowice and Upper Silesia — heavy industry, automotive supply and, increasingly, engineering and data-centre work that draws Indian technical staff.
- The Tri-City — Gdańsk, Gdynia and Sopot, where maritime, offshore and port-linked employers sit on the doorstep of the terminal your container will use.
Booking windows, and the weeks worth avoiding.
Both ends of this corridor have a calendar, and they do not line up.
At the India end, the south-west monsoon between June and September slows inland trucking and makes packing days less predictable, particularly for west-coast origins feeding Nhava Sheva and Mundra. The festival weeks around Diwali thin crew availability across the country. And the run-up to the Lunar New Year tightens space and rates across the whole Asia–Europe trade, which India-origin boxes compete in whether or not the cargo has anything to do with China.
At the Polish end the obstacles are calendar rather than weather. The clustered public holidays of early May, Corpus Christi in late spring, 15 August, 1 November and the stretch from Christmas to Epiphany each remove working days, and Sunday trading restrictions limit when a crew can work in a residential building. Baltic ice rarely closes Gdańsk, but December-to-February storms in the North Sea and the Baltic push feeder schedules around — which is a further quiet argument for the direct call.
In practice we ask for eight to ten weeks between the first conversation and the day the container should leave India. That is enough to survey properly, prepare the export documentation without pressure, and choose a sailing rather than accept one.

Relief on used household effects, in plain terms.
This is a customs matter, and it is worth stating precisely because so much is written loosely about it. Under the Union Customs Code and the EU relief regulation that sits alongside it, a person moving their normal residence from a third country into an EU member state may bring used personal property into free circulation without import duty, and Polish law mirrors the exemption for import VAT. Four conditions govern it. The person must have had their normal residence outside the EU for a continuous period of at least twelve months. The goods must have been in their possession and, where they are not consumable, in use at the former residence for at least six months before they left. The goods must be declared within twelve months of residence being established in the EU. And for twelve months after import they must not be sold, lent, hired out or given away.
Some categories sit outside the relief altogether — alcohol and tobacco products, commercial vehicles, and articles used in a trade or profession other than portable instruments — and a private car brought in this way carries conditions of its own. Eligibility is decided by the Polish authorities on the evidence put in front of them, which is why the inventory, the valuation and the dates on the Indian shipping bill matter as much as they do. We prepare that evidence carefully. The decision is not ours to make.

Which Polish port will my shipment come into?
Gdańsk most of the time, Gdynia where the sailing suits it better, and Szczecin–Świnoujście for western and south-western deliveries. We confirm the port with the booking rather than leaving it open, because the port sets the road distance and therefore the delivery date you are planning around.
How far ahead should I start?
Eight to ten weeks for a sea shipment is comfortable. Four is possible and occasionally unavoidable, but it removes your choice of sailing and compresses the survey and documentation work into a window where mistakes become expensive.
Can my goods be stored if the flat is not ready?
Yes. Storage can be arranged at the India end before departure, or in Poland after clearance, and the two have different cost and timing consequences. Tell your coordinator early, because a shipment that arrives with nowhere to go starts accruing port charges quickly.
Does everything have to travel by sea?
No, and often it should not. A common arrangement on this corridor is a small air consignment out of BOM, DEL, BLR or MAA into Warsaw Chopin carrying what is needed in the first fortnight, with the household following by sea. It costs more per kilo than sea and far less than a full air move, and it takes the pressure off the arrival date.
