- Survey both premises. We assess the India office and gather the Portuguese destination details — floor plan, building access, lift capacity, IT topology, structured cabling and any equipment that needs special handling.

Lisbon and Porto buildings, and what they do to a move-in.
Office stock in both cities splits into two very different categories, and which one the lease is signed against changes the move plan more than the volume does. The prestige addresses in central Lisbon — the Baixa, Chiado, Avenida da Liberdade — and in Porto’s historic core are frequently nineteenth-century or older buildings converted to offices. Narrow street frontages, no loading bay, a goods lift that may be small or entirely absent, stairwells with tight turns. Several sit inside restricted-traffic zones where a heavy vehicle needs prior arrangement with the câmara municipal and a bay reserved on the street, and the delivery window is set by the building manager rather than the tenant — commonly early morning, evening or weekend.
The modern stock is a different job: Parque das Nações and the western Lisbon corridor, Boavista and Matosinhos in Porto, and the business parks on both ring roads have proper docks, service lifts sized for pallets and dedicated goods entrances. The single most useful thing to send before we quote is the internal dimensions of the goods lift and the width of the narrowest doorway between the street and the floor. Furniture that will not round a corner is furniture that has crossed two oceans in order to be dismantled on a landing.

An office relocation from India rarely works as one consignment, because the items a business needs first and the items that take up the most space are not the same items. The pattern that works here is a split: a compact air consignment out of BOM, BLR or DEL carrying laptops, servers, network and security hardware, key files and whatever the first working week depends on, followed by a sea container with furniture, storage, fit-out and archive. The air element lands while the container is still at sea, so a team starts work from a partly furnished floor instead of waiting five weeks for all of it at once.
One detail decides whether the phasing works at all: the air consignment and the sea consignment are two separate customs events with separate valuations, so the inventory has to be split at the survey and stay split. Splitting it afterwards, once one half has already been declared, is the point at which the values stop reconciling and Portuguese customs begins asking why.
The split has to be decided at the survey, because it produces two documentation sets and two clearance events rather than one. It also costs money, and the trade is worth stating plainly: the air leg buys operational continuity, and continuity is usually worth more than the freight difference once a Portuguese entity is already paying salaries.

Not everything in an Indian office earns its place in a container. The test is simple: would replacing this in Portugal cost less than shipping, clearing and reassembling it? For a great deal of standard office furniture, it would.
- Usually worth shipping. Specialist and calibrated equipment, laboratory and test rigs, tooling, servers and network hardware already configured for your environment, branded fit-out elements, physical archives under a retention obligation, and anything whose lead time in Portugal exceeds the sea transit.
- Usually worth buying locally. Standard desks, task chairs, monitors, pedestals and meeting furniture. Iberian suppliers deliver quickly, the goods arrive under local warranty, and what is saved on freight and reassembly covers a good part of the purchase.
- Check before deciding. Anything mains-powered and permanently installed. Portugal runs at 230V, 50Hz on Schuko sockets, so most Indian office equipment runs on an adaptor; fixed installations, three-phase machinery and anything that will be inspected or certified in Portugal need their marking and conformity documentation looked at before packing rather than after landing.

Can the shipment clear into the Portuguese entity before registration is complete?
The import declaration needs an EORI number, which follows from the Portuguese tax registration, so the entity has to exist in a usable form before the container arrives. This is the most common sequencing failure on corporate moves and it is entirely avoidable — give us the incorporation timetable at the survey and the sailing is set against it rather than against the packing date.
How long between the India decommission and the Portugal opening?
For a sea shipment, plan on ten to twelve weeks door to door and treat anything shorter as a schedule with no margin in it. Where the opening date is genuinely fixed and closer than that, the answer is a phased move with an air component, not an optimistic sea booking.
Does someone need to be in Portugal for the delivery?
Somebody with authority over the floor plan does, and it need not be whoever signed the lease. The most useful person on site is the one who will have to live with the layout — an office manager, or the local lead — because the decisions that come up on installation day are about where things go rather than about whether they arrived. Where nobody can be there, we work to a marked-up plan and photograph the finished floor for sign-off.
Who does the installation at the Portuguese end?
