Privacy Policy

This policy explains what happens to personal data when you use seemleiusinternational.com, ask us for a quotation, or move goods with us. It covers both halves of the business that share this website: the corporate freight side — air and sea freight, customs clearance, warehousing, project cargo — and the household, employee and office moving side. The systems behind them are the same, so the answers are the same.

We have written it to be read rather than filed. Where it says what we do, that is what the website and our internal systems actually do; where a decision is still open, it says so.

Last updated: 7 October 2026. This version gives the legal basis and the retention of the campaign cookie kept by Kaelo Suite, our enquiry-management system, which is set whatever you choose on the banner. The version of 6 October 2026 first described that cookie; the one dated 27 September 2026 brought the description of consent, analytics, advertising measurement and browser storage up to date with how the site works.

Who is responsible for your data

Seemleius International Pvt. Ltd. — a company incorporated in India, operating from offices in Cochin and Mumbai — decides why and how your personal data is processed. Under India’s Digital Personal Data Protection Act, 2023 that makes us the Data Fiduciary and makes you, when we hold data about you, the Data Principal. If you are reading this in the European Economic Area, the United Kingdom or Switzerland, the equivalent term under the GDPR and UK GDPR is controller, and you are a data subject. Our postal addresses and phone number are on the contact page.

The short version

  • We collect what you type into an enquiry or quote form, and what a move needs in order to happen — addresses, dates, an inventory, and the documents customs asks for.
  • We record how you found us. That includes advertising click identifiers such as Google’s gclid, which we keep so we can tell which advertising produces real enquiries rather than noise.
  • Enquiries are stored in this site’s own database, emailed to our sales team, and written to a Google Sheet we use as the working lead list.
  • Google is our main technology supplier here: analytics, advertising measurement, address suggestions and the spreadsheet all sit with Google.
  • To move your goods we must pass your details to the agent, carrier and customs administration at the other end. There is no way to ship internationally without that.
  • We do not sell personal data, and we do not pass it to data brokers or list resellers.

What you tell us

The freight enquiry form

The request-for-quotation form on the contact page asks for your name, your company, your email address, your phone number, the cargo type, the mode you want (air or sea), the Incoterm, origin, destination, weight or volume, a target date, and a free-text message. Those entries are stored in this website’s database by the form plugin and emailed to our sales inbox with your address set as the reply-to, so a coordinator can answer you directly.

The moving quote funnel

The multi-step form behind Get a quote collects more, because a moving quotation needs more. Depending on the answers you give, the record we create can contain: the type of move and its scope; origin city and country; destination city and country; a preferred date or a broader move window; a description of the size of the move; the services you want at origin and at destination; special or unusual items; whether you prefer sea or air; whether you want a pre-move survey and when; your name, email address and phone number; whether we may contact you on WhatsApp; the best time to call; how you heard about us; and anything you write in the notes.

If you use the volume calculator, we also store the itemised list it produces — each item, the room it is in, the quantity and its cubic volume, up to two hundred lines — along with the total in cubic metres and cubic feet. That inventory is the single most useful thing you can give us, because it is what turns an estimate into a price.

Every submission gets a reference beginning SML-. We store the fact that you ticked the consent box, the exact wording you agreed to, and the date and time you agreed to it. We also compare the email address and phone number against enquiries from the previous thirty days and flag repeats, so that a second enquiry reaches the coordinator who already knows your file rather than starting again.

If you tap a call or WhatsApp link

Phone and WhatsApp links on this site open a short form asking for your name, email address, phone number and consent before the call or chat starts. That creates an enquiry record in the same way a form submission does, marked as a call or WhatsApp enquiry. The form appears on every tap, so we know each time someone tried to reach us. Details you have just entered are offered again for five minutes on the same page, and are never stored in your browser.

Once a move or shipment is booked

From that point most of what we collect no longer comes through the website. A coordinator gathers survey notes, the agreed inventory, collection and delivery addresses, access details at both ends, and the documents the customs administrations require — for an unaccompanied personal-effects shipment that typically includes a passport copy; for a commercial consignment it means PAN, GSTIN, IEC and the commercial invoice and packing list. These arrive by email, on WhatsApp, or in person during a survey. We do not take card or bank details through this website.

What is collected without you typing anything

Server records

Like any web server, ours logs the requests it receives: IP address, date and time, the page requested, the referring page and the browser’s user-agent string. These logs exist to keep the site running and to investigate abuse. Separately, when you submit an enquiry we store your IP address and user-agent string on the enquiry record itself, because that is what lets us tell a genuine enquiry from an automated one.

The enquiry endpoint is rate-limited: a counter is kept against a hash of your IP address for one hour and rejects more than eight submissions in that time. The form also carries a hidden field that a person never sees; anything that fills it is treated as automated and is not passed to the sales team or counted as a conversion.

Advertising attribution held in your browser

This one deserves plain description, because it is the part visitors are least likely to guess at. On the first page you land on, our own code takes a snapshot and keeps it in your browser’s storage. The snapshot holds the path of the landing page, the name of the site that referred you, a timestamp, any campaign parameters in the link (utm_source, utm_medium, utm_campaign, utm_term, utm_content, utm_id), any advertising click identifier in the link (Google’s gclid, gbraid, wbraid, dclid and srsltid; Meta’s fbclid; Microsoft’s msclkid; and the equivalents used by TikTok, X, LinkedIn and Yandex), and Google Ads’ own details in the link, such as gad_source, the campaign, ad group and keyword. A later visit from another campaign is kept as a second, separately timed snapshot, and the page an enquiry is sent from is added when you send it.

The snapshot lives in session storage for the browsing session and is mirrored into local storage for ninety days, after which our code discards it. If you send us an enquiry, the snapshot is submitted alongside the form and is stored on the enquiry record and repeated in the internal notification email. The Google click identifier is kept in a field of its own so that, if an enquiry becomes a booking, we can report that booking back to Google Ads as an offline conversion — that is, tell Google which click eventually produced work, without telling Google who you are.

Two honest caveats. First, this snapshot is taken by our own code in your own browser without asking, unless you are shown the consent banner, in which case it waits for Accept; choosing Decline at any time, on the banner or from Cookie choices at the foot of every page, deletes it and stops it. Second, you can remove it at any time by clearing this site’s data in your browser, and it expires on its own after ninety days. The cookie policy lists every storage key by name, including the one described next.

One record does not follow that choice. When a visit arrives from an advertisement, a campaign link or another website, the Kaelo Suite plugin on this site keeps a signed first-party cookie, kaelo_attr, whatever you choose on the consent banner; Decline does not remove it. It holds the same kind of campaign details (advertising click identifiers, campaign tags, the advertisement’s campaign and keyword parameters, the page you arrived on, the referring website, the time and, where our hosting reports it, your country), never your name, email address or phone number, and it lasts up to 400 days unless you clear this site’s data in your browser. When you send an enquiry, these details go with it to Kaelo Suite so the enquiry is credited to the advertising that brought it; Kaelo Suite reports it to Google Ads as a conversion only where advertising measurement is permitted.

Analytics

We use Google Analytics 4, property G-EXYGFDEC3N. The tag is emitted only when the site is served from its live domain, so development and staging copies never send anything, and it is suppressed for signed-in editors, who are not visitors. Analytics tells us which pages are read, how people move between them, roughly where in the world traffic comes from (Google derives an approximate location from the IP address and does not pass the address on to us), and which device and browser were used. Page views reach Analytics together with the site’s own events: steps through the quote forms, taps on phone, WhatsApp and email links, completed enquiries and the thank-you page. The same events reach the Google Tag Manager container on this site, which reports completed enquiries to Google Ads as conversions.

Address suggestions on the quote form

The origin and destination city fields on the quote form offer suggestions using Google’s Places service. The characters you type into those fields are sent to Google to fetch the suggestion list. If the Google script is blocked or fails to load, the field stays an ordinary text box and the form works exactly as before.

Cookies, and how consent works here

This site runs its own consent mechanism — there is no third-party consent platform involved. Google’s tags start with analytics and advertising storage granted globally, and denied by default for visitors Google places in the EU and EEA, the United Kingdom or Switzerland. That regional default is applied by Google according to where you actually are, so it does not depend on our servers guessing. Visitors whose browser reports a European time zone, or none, are shown a banner offering Accept or Decline; anyone can open it from Cookie choices at the foot of every page; and the choice is remembered in your browser for twelve months. The cookie policy sets out every cookie and storage item by name, lifetime and purpose, and explains how to change your answer. The one record your answer does not govern is the campaign cookie kept by Kaelo Suite, described above.

Who your data is shared with

Our own team and the people who run our systems

Enquiries are emailed to our sales inboxes. A copy of each internal notification is also sent to Kaelo Global, the agency that builds and operates this website and our advertising, so that the lead pipeline, the tracking and the forms can be kept working. Our web host stores the site and its database and sends that mail. Every enquiry is additionally written to a Google Sheet, through a Google Apps Script endpoint, which is the working list our coordinators price from.

Your enquiry is stored and handled in Kaelo Suite, the customer-management system that Kaelo Global operates for us; we keep it only as long as needed to handle your enquiry and delete it on request.

The internet (IP) address and browser details your enquiry is sent from are stored with it and passed to Kaelo Suite; Google’s tags on this site also receive them when they measure our advertising.

Google

Google processes data for us in several distinct roles: Analytics, advertising measurement for Google Ads, the Places service that suggests city names, and the Workspace account that holds the lead spreadsheet. When you send an enquiry and advertising measurement is permitted, a hashed form of your email address and phone number — irreversibly hashed with SHA-256 before it leaves the page — is sent to Google through Enhanced Conversions for Google Ads, to match the enquiry to an advertisement click.

The people who actually move your goods

An international move cannot be performed by one company alone. Depending on the lane, your details go to our destination agent, the shipping line or airline, consolidators and NVOCCs, port and terminal operators, road transporters, packing crews, and warehouse or storage operators. They receive what they need to do their part: your name, the collection or delivery address, a contact number, the inventory and the shipping documents. Nothing more.

Customs and other authorities

Indian Customs and the customs administration of the destination country receive the shipment declaration and the supporting documents, because the law of both countries requires it. Port, aviation-security and quarantine authorities may see the same paperwork. We also disclose data where a court, regulator or statute compels us to.

Professional services

Where you ask us to help arrange marine transit cover, the valued inventory and your contact details go to the insurer or broker. Our auditors, accountants and tax advisers see records in the ordinary course, and lawyers see a file if a claim arises.

Where your data goes

Our people and our records are in India. Data leaves India in three ways, all of them necessary. Google stores and processes analytics, advertising and spreadsheet data on its global infrastructure. Destination agents and carriers, by definition, are in the destination country. And destination customs administrations receive the declaration in their own country.

Under section 16 of the DPDP Act, transfer outside India is permitted except to territories the Central Government restricts by notification; we do not transfer to any restricted territory. For personal data protected by the GDPR or UK GDPR, transfers to Google rely on the Standard Contractual Clauses, with the UK addendum where relevant, incorporated in Google’s data processing terms. Transfers to a destination agent or carrier rely on Article 49(1)(b) — the transfer is necessary to perform the contract you asked us to perform, and a move to a country cannot be performed without sending the details to that country.

How long we keep things

Record Kept for Why
An enquiry that never became a booking 24 months from the last contact, then deleted or anonymised Moving decisions are slow; enquiries genuinely revive a year later
The working lead spreadsheet Kept in step with the above It is a mirror of the enquiry table, not a second archive
Notification emails in our inboxes 24 months Same reason, and mailbox hygiene
Shipment file, invoices, customs and GST records Eight financial years The retention Indian company, tax and customs law requires
Insurance and claims files Until the claim is closed, then for the limitation period that applies to it Claims can be reopened; the file must survive that long
Web server logs Typically 30 days, as configured by our host Security investigation and troubleshooting
Google Analytics The retention period configured in the property — currently 14 months for user and event data Long enough to compare a year on year; no longer
Attribution held in your browser 90 days Set by our own code and expired automatically
The campaign cookie kept by Kaelo Suite (kaelo_attr) Up to 400 days in your browser, unless you clear this site’s data; the copy sent with an enquiry is kept on our server for 90 days, and in Kaelo Suite for as long as the enquiry itself An enquiry can come months after the advertisement that prompted it
Your consent choice on the banner 12 months So we do not ask on every visit, and do ask again within a reasonable period

How we protect it

  • The site is served over HTTPS; form submissions and the outbound feeds are encrypted in transit.
  • Only named staff have accounts on the lead dashboard, and enquiry records are visible only to signed-in users with the right role.
  • The intake endpoint writes only to a fixed list of permitted fields, so a crafted submission cannot reach any other part of the database, and every value is sanitised and length-limited on arrival.
  • Submissions are rate-limited by IP and screened by a hidden anti-automation field.
  • No payment card details are collected on this website at all, which removes an entire category of risk.
  • Access to the Google Workspace account holding the lead sheet is restricted to the people who work the pipeline.

We do not claim any security certification. If we hold one in future it will be named here, with the certificate.

Your rights if you are in India

The Digital Personal Data Protection Act, 2023 gives you, as a Data Principal, the following rights over data we hold because you gave us consent or because you asked us for a service:

  • Access. A summary of the personal data we hold about you, what we are doing with it, and the identities of the other Data Fiduciaries and processors we have shared it with.
  • Correction, completion and updating. If a name, address, date or inventory line is wrong or out of date, tell us and we will correct it.
  • Erasure. We will erase personal data on request unless keeping it is necessary for the purpose you gave it for, or is required by law — a customs or GST record cannot be deleted on request, and we will say so plainly rather than pretend otherwise.
  • Withdrawal of consent. You can withdraw consent as easily as you gave it. Withdrawal does not undo processing already carried out, and it may mean we can no longer quote for or perform a move.
  • Grievance redressal. You may raise a grievance with us and we must respond. Write to our Grievance Officer, named below; we aim to acknowledge within three working days and to resolve within thirty days.
  • Nomination. You may nominate another person to exercise these rights on your behalf in the event of your death or incapacity. Tell us in writing and we will record the nomination against your file.

Grievance Officer

The Digital Personal Data Protection Act requires us to publish a contact who answers questions and grievances about how your personal data is handled. That person is named here rather than hidden behind a general enquiry address.

Manish Nair
Grievance Officer, Seemleius International Pvt. Ltd.
Email: manish@seemleiusinternational.com
Telephone: +91 76248 01820

Dotspace Business Centre, Total Tower, Edapally
Kochi, Kerala 682024, India

Write in English, describe what happened and include any reference you have. We acknowledge within three working days and aim to resolve within thirty days. If you are not satisfied with the outcome, you may escalate to the Data Protection Board of India.

You also have duties under the Act — in particular not to impersonate someone else and not to file a false or frivolous grievance. If you are not satisfied with how we handle a grievance, you may complain to the Data Protection Board of India.

Your rights in the EEA, the UK and Switzerland

If the GDPR or the UK GDPR applies to you, you have the rights of access, rectification, erasure, restriction of processing, data portability, and objection to processing carried out on the basis of legitimate interests. Where we rely on consent — for analytics, for advertising measurement and for marketing follow-up — you may withdraw it at any time, and doing so does not affect the lawfulness of what was done before. The campaign cookie kept by Kaelo Suite rests on our legitimate interests rather than on consent, so it is set whatever you choose on the banner; you may object to it by writing to us, and you can remove it at any time by clearing this site’s data in your browser. You may also complain to your national supervisory authority; in the United Kingdom that is the Information Commissioner’s Office.

Consent for analytics and advertising storage is captured by this site’s own banner, described above and detailed in the cookie policy. Until you accept, Google’s tags run with analytics and advertising storage denied for visitors in those regions.

Marketing, and how to stop it

The quote form uses a single tick box that covers accepting our terms, letting us contact you about your enquiry, and letting us send you related information. We store the wording of that statement with your record, so there is never a question about what you agreed to. If you would rather not hear from us beyond the quotation itself, say so in a reply to any message we send, or write to us using the route below, and we will mark the record accordingly. We do not run automated marketing sequences and we do not add enquirers to third-party mailing lists.

Children

This is a business and household moving service and is not directed at children. We do not knowingly collect personal data from anyone under eighteen. If a child’s details reach us as part of a family move — a name on an inventory or a travel document, for instance — they are handled as part of that shipment file and nothing else. If you believe a child has given us data directly, tell us and we will remove it.

Automated decisions

Nothing on this site makes an automated decision that produces a legal or similarly significant effect on you. The repeat-enquiry flag and the spam screen are prompts for a human, not verdicts. Every quotation is priced by a coordinator.

Changes to this policy

When the site’s data handling changes, this page changes with it, and the date at the top moves. Where a change materially affects how we use data you have already given us, we will tell you directly rather than rely on you re-reading the page.

How to reach us about your data

Write to us at sales@seemleiusinternational.com with "Privacy" in the subject line, or use the details on the contact page. Please tell us what you would like us to do and give us enough detail to find your record — the SML- reference from your enquiry is ideal. We may need to check your identity before acting on a request about someone’s personal data, which is a protection for you rather than an obstacle.

[To be supplied by the company: the name and designation of the person who answers grievances about personal data. Section 10 of the DPDP Act requires a Data Fiduciary to publish the contact details of the person able to answer a Data Principal’s questions about processing, and that name should be printed here.]
